When working with multi-member teams, speed and clarity are critical — especially when sending important documents or contracts. Tekmatix has introduced a new “Assign to Sender” feature in document templates that makes collaboration smoother and eliminates repetitive manual edits.

With this feature, any team member who sends a document from a shared template automatically becomes the signer for designated fields — no more manually swapping names or updating fields each time.

Why This Matters

Before this update, shared document templates often had the business owner’s name assigned to signature fields by default. Team members had to manually reassign these fields each time they sent a document, which could be time-consuming and prone to errors.

Now, with dynamic field assignment, the correct signer is set instantly — saving time, reducing mistakes, and speeding up the sending process.

Step-by-Step: How to Use “Assign to Sender” in Templates

1. Open the Template
   Go to your Tekmatix Payments > Documents & Contracts area and open the template you want to edit.
   

2. Select the Field to Assign
   Click on the field you want to assign dynamically (for example, a Signature field).
   

3. Set the Signer as ‘Sender’
   In the field’s Properties panel, choose Sender from the signer dropdown instead of selecting a specific person.

4. Save Your Changes
   Click Save to update the template.
   

5. Use the Template in Action

   • Any authorised team member can now click Use Template.
     

   • That user automatically becomes the signer for any field assigned to Sender.

Example Scenario

Imagine you run a property management business with three team members who send out lease agreements to new tenants.

Previously, the default template had the business owner’s name assigned to the signature field. Every time another team member sent a lease, they had to manually change the signature field to their own name.

With the new “Assign to Sender” feature:

If you’re sending documents through Workflows, even if you assign a field to Sender, it will be tied to the business user who last edited the document. This is because workflows are usually triggered by contacts and may not map to a specific sender.
