How To Offer Flexible Booking Options Using Multiple Meeting Locations in Tekmatix Calendars

Empower clients to choose how—and where—they meet you.

The calendar experience in Tekmatix just got a powerful update: You can now offer multiple meeting location options within your calendar while using custom forms to collect specific information. Whether you're running meetings in-person, online, or from multiple offices, this upgrade gives your clients flexibility—and gives you more control over how bookings happen.

Why This Matters

This feature is especially useful for businesses that operate from different physical locations or offer both virtual and in-person services. You can now:

  • Offer different locations like offices, stores, Zoom links, or MS Teams sessions.

  • Let your clients input their own meeting location using the "Ask the Booker" option.

  • Maintain a streamlined process using custom forms to gather details before the meeting.

Step-by-Step Guide: How to Set Up Multiple Meeting Locations in Your Calendar

Step 1: Access Your Calendar Settings

  1. Go to Settings in your Tekmatix dashboard.

  2. Select the calendar you want to configure.

Step 2: Navigate to the Meeting Location Section

  • For Event Calendars: Scroll to the Meeting Location section.

  • For Round Robin / Service Calendars: Scroll to the Team Members section.

Step 3: Add Multiple Location Options

  1. Click on + Add Location.

  2. Choose from the following options:

    • Custom Location – Add a specific address and a Display Label (e.g., “New York Office”).

    • Ask the Booker – Let the client enter their own meeting address.

    • Standard Options – Zoom, Google Meet, Microsoft Teams, Phone, or In-Person.

Step 4: Save Your Changes

Once you've added and customized your preferred location types, click Save.

Important Notes

  • This feature works with Event Calendars and Round Robin/Service Calendars with one team member.

  • It’s currently supported on the Neo widget only.

  • Fully compatible with custom forms, so you can collect pre-meeting info like goals, preferences, or location confirmations.

Use Case: Multi-Location Coaching Business

Scenario:
Sarah is a career coach offering services across three cities and online. She uses Tekmatix to manage bookings. Here's how she sets up her calendar:

  • Adds New York Office, Los Angeles Office, and Zoom Call as preset locations.

  • Enables “Ask the Booker” for clients who might want to meet at a different location.

  • Uses a custom form to ask questions like:

    • “What’s your preferred time zone?”

    • “Do you have any accessibility needs?”

    • “If choosing ‘Other location,’ please specify the address.”

Result: Her clients easily choose how they want to meet, and Sarah gets all the info she needs up front—saving time and avoiding follow-up emails.
