How to Redeem a Customer’s Gift Card When Collecting Appointment Payments in Tekmatix

Gift cards just became much easier to use when you’re taking payments directly from an appointment inside Tekmatix.

You can now redeem a customer’s available Gift Card balance while collecting payment from an appointment across Meetings, Services and Rentals calendars.

Previously, Gift Cards were mainly redeemed by customers themselves through customer-facing checkout experiences.

Now, your team can apply a customer’s Gift Card balance when collecting payment on their behalf, including when charging a saved card or adding a new payment card.

This gives you a much more flexible and consistent way to manage Gift Card payments, regardless of whether the customer or your team initiates the transaction.

What’s New With Gift Card Payments in Tekmatix?

When collecting payment directly from an appointment, you can now choose to redeem an available Gift Card before charging the customer’s card.

This is available across:

  • Meetings

  • Services

  • Rentals

The Gift Card balance is applied first.

If the Gift Card does not cover the full amount owing, the remaining balance can then be charged to the customer’s payment method.

This makes Gift Cards far more practical for businesses that regularly collect payments manually from bookings or appointments.

How to Redeem a Gift Card From an Appointment

To apply a customer’s Gift Card balance when collecting payment:

  1. Open the relevant Appointment in Tekmatix.

  2. Go to the Payments tab.

  3. Click Collect Payment.

  4. Select Charge a Card.

  5. Choose Redeem a Gift Card.

  6. Select and apply the customer’s available Gift Card balance.

  7. Complete the payment for any remaining amount owing.

Tekmatix will apply the Gift Card balance before charging the remaining amount to the customer’s payment method.

What Happens if the Gift Card Covers the Full Payment?

If the customer has enough Gift Card balance available to cover the entire transaction, the Gift Card can be used for the full payment.

No additional payment method needs to be charged.

For example:

If an appointment costs $150 and the customer has $200 remaining on their Gift Card, $150 can be redeemed from the Gift Card and the transaction can be completed without charging their card.

The Gift Card would then retain its remaining $50 balance.

What Happens if the Gift Card Only Covers Part of the Payment?

Partial Gift Card payments are also supported.

The available Gift Card balance is applied first, with the remaining amount collected using the customer’s payment method.

For example:

  • Appointment total: $200

  • Available Gift Card balance: $75

  • Gift Card redeemed: $75

  • Remaining card payment: $125

This allows Gift Cards and card payments to work together within the same transaction.

What Happens if a Gift Card Cannot Be Used?

If a Gift Card is invalid, expired or has no remaining balance, Tekmatix will display a validation message explaining why it cannot be redeemed.

This helps your team immediately understand what has happened without having to manually investigate the Gift Card.

See Exactly How the Payment Was Collected

Tekmatix also provides clearer payment visibility whenever a Gift Card is redeemed.

Inside the Transaction Details, you can see how much of the transaction was paid using the Gift Card.

For split payments, the transaction can separately display:

  • The amount redeemed from the Gift Card

  • The amount collected using the other payment method

This makes it much easier for your team to understand exactly how each appointment was paid.

Gift Card Balances Update Automatically

After a successful redemption, the associated Gift Card Order is automatically updated to reflect the customer’s remaining balance.

That means you do not need to manually calculate or update Gift Card balances after taking a payment.

For example, if a customer had a $300 Gift Card and you redeemed $120 against an appointment, their Gift Card balance would automatically update to $180.

Gift Cards are often purchased in advance but redeemed later during an appointment, service or rental.

Until now, businesses could encounter situations where the customer had a perfectly valid Gift Card, but the redemption process depended on the customer completing the transaction themselves.

Giving your team the ability to redeem Gift Cards directly while collecting an appointment payment makes the process much more practical.
