Invoicing plays a crucial role in maintaining smooth business operations, but the timing of reminders can make all the difference in customer satisfaction. Previously, all invoice reminders were sent out at 12 AM, which often led to inconvenience for both businesses and their clients. This approach lacked flexibility and failed to accommodate different time zones and operating hours.
To address these challenges, we’ve introduced new updates to give you greater control over when reminders are sent. These changes ensure that reminders align with your business schedule and your customers’ expectations making the entire invoicing process more professional and effective.
Our latest updates to the invoice reminder system includes these key features:
Now you can set your operational hours directly in the system with the new Business Hours feature. This ensures invoice reminders are sent during your preferred business hours, making them more convenient for your customers and aligned with your workflow. This prevents late-night notifications and ensures that communication aligns with your business’s natural rhythm.
For example, if your business operates from 9 AM to 6 PM, you can configure reminders to only go out during these hours. This keeps your notifications relevant, timely, and considerate of your customers’ schedule.
We understand that businesses operate globally, and managing time zones can be a challenge. With the new Time Zone Preference setting, you can choose how reminders are timed:
Customer Time Zone: Sends reminders based on the recipient’s local time, ensuring they receive messages during their normal hours.
Business Time Zone: Sends reminders according to your business’s location, keeping things consistent with your operations.
By default, the system is set to Business Time Zone, but you have the flexibility to switch to Customer Time Zone if that’s more suitable for your client base.
Once these settings are enabled, you don’t need to worry about updating each invoice manually. The configurations you set will automatically apply to all future invoices. This automation saves time, minimizes errors, and ensures consistency across your invoicing process.
These improvements are more than just a quality of life upgrade, they solve real challenges faced by businesses. Here’s how they make a difference:
Enhanced Customer Experience: Nobody enjoys receiving reminders at midnight. By aligning reminders with your business hours or your customer’s time zone, you create a smoother and more professional interaction.
Reduced Customer Frustration: Poorly timed reminders can irritate customers, leading to negative experiences. This update ensures that notifications are sent at optimal times, improving customer satisfaction and retention.
Streamlined Operations: Automating the application of business hours and time zones saves your team from manually adjusting each invoice. This means fewer mistakes and more time for other important tasks.
Access the Invoice Settings: Navigate to the Invoice Settings section and select Reminders.
Enable Reminders and Configure Business Hours: Toggle on the reminders and set your operational hours. This ensures notifications are sent out only during your specified time frame.
Choose Your Time Zone Preference: Select either Customer Time Zone or Business Time Zone, depending on what works best for your business model.
Save and Apply to Future Invoices: Once configured, save your changes. From this point forward, all future invoices will follow your selected settings automatically.
Elevate your Customer Base: If you work with clients across multiple time zones, consider using the Customer Time Zone option. This ensures reminders are sent when they’re most likely to see and act on them.
Set Realistic Business Hours: Be mindful of your operational schedule when configuring business hours. Avoid setting a window that’s too narrow, as this could delay important reminders.
Test your Settings: Before making changes on a larger scale, test the new settings with a small batch of invoices. This helps ensure the timing aligns with your expectations.
