How to Add and Automate Multiple Signer Roles in Tekmatix Documents and Contracts

Sending agreements that require multiple signatures just became much easier in Tekmatix.

Tekmatix Documents and Contracts templates can now support multiple signer roles, including buyers, sellers, clients, witnesses, guarantors, co-signers, or any custom role your business needs.

Even better, when the document is sent automatically through a Tekmatix Workflow, each signer role can be populated and routed for signature without manually entering everyone’s details every single time.

What’s New?

Add Multiple Signer Roles to Your Templates

You can now define up to six signer roles within a single document template.

For example, you might create roles such as:

  • Buyer

  • Seller

  • Client

  • Co-signer

  • Tenant

  • Guarantor

  • Witness

  • Business owner

You can also create your own custom signer roles based on the agreements your business regularly sends.

Each role can be assigned its own fillable fields, such as:

  • Signature

  • Name

  • Email address

  • Phone number

  • Date

  • Other required document fields

This means you can build your document structure once and reuse it across multiple automated sends.

The Challenge

Many business agreements require more than one person to sign.

You might need:

  • A buyer and seller

  • A client and co-signer

  • A tenant and guarantor

  • A contractor and customer

  • Multiple business partners

  • A client plus a witness

Previously, managing multi-party documents could mean manually entering signer information every time you sent an agreement or creating multiple versions of similar templates.

That adds unnecessary admin and creates more opportunities for mistakes.

The Solution

With multiple signer roles in Tekmatix, you can define your required signers directly inside the document template.

When that template is used in a Workflow, Tekmatix automatically brings those roles into the Send Document action.

You can then use the information already configured in your template or override individual signer details from within the Workflow.

This gives you the best of both worlds: reusable templates with the flexibility to customise individual agreements when needed.

How Multiple Signer Roles Work

1. Create Your Document Template

Open your Documents and Contracts template and add the signer roles required for the agreement.

You can add up to six roles per template.

For each role, configure details such as:

  • Name

  • Email

  • Phone number

Then assign at least one fillable element, such as a signature or date field, to each signer role.

Signer roles can contain static information or values that are dynamically resolved when the document is sent.

Choose the option that best suits the way your business handles agreements.

2. Assign a Field to the Contact

At least one fillable element in the document must be assigned to the Contact.

This is required when sending the document using a Tekmatix Workflow.

3. Add the Send Document Action to Your Workflow

Open your Workflow and add the Send Document action.

Select the multi-signer template you created.

The signer roles configured within the template will automatically appear inside the Workflow action.

There is no need to recreate each role manually.

4. Override Signer Details When Required

Need to change a signer for a particular workflow?

You can override the:

  • Name

  • Email address

  • Phone number

for individual roles directly inside the Workflow.

Workflow-level information takes priority over the default values stored within the template.

This allows one template to work across many different clients, deals and scenarios.

5. Activate Your Workflow

Once your Workflow is ready, activate it as normal.

When a contact reaches the Send Document action, Tekmatix will generate the document using your configured signer roles and send it to the appropriate recipients.

  • You can add up to six signer roles per template.

  • Signer roles belong specifically to the template where they were created.

  • Automatic role population applies when documents are sent through a Workflow.

  • At least one fillable element must be assigned to the Contact for the Workflow Send Document action to work.

  • Signer information entered at the Workflow level overrides the template’s default values.

  • If a required signer email address is missing, Tekmatix will prompt you to complete it before sending.

  • If duplicate email addresses are used across signer roles, Tekmatix will display an alert.

  • This feature is currently available on the Tekmatix web platform.
